Terms and conditions of sale

0. PURPOSE

These General Terms and Conditions govern the purchase of tickets, registration, access, attendance and, where applicable, participation in the NEW SPACE SPAIN Congress (hereinafter, the “Event”), whose website is https://newspaceespana.com/en/home/, owned by ALEN SPACE, S.L. (hereinafter, the “Organizer”).

The purchase of a general access pass implies full and unconditional acceptance of each and every one of these General Terms and Conditions, without prejudice to the acceptance of any Specific Terms and Conditions that may apply at the time of purchase.

The Organizer reserves the right to modify these General Terms and Conditions at any time; therefore, it is recommended to read them carefully before proceeding with the purchase of a general access pass.

1. IDENTIFICATION

In compliance with Law 34/2002 of July 11 on Information Society Services and Electronic Commerce, the Organizer provides the following corporate information:

2. COMMUNICATIONS

All notifications and communications between users and the Organizer shall be deemed valid and effective for all purposes when carried out through any of the means indicated above.

3. SEAT RESERVATION

The seat reservation, together with its main characteristics and price, will be displayed on screen prior to completing the purchase process.

The Organizer reserves the right to determine, at any time, which products and/or services are offered to Customers. Accordingly, the Organizer may, at any time, add new products and/or services to those currently offered. Likewise, the Organizer reserves the right to withdraw or discontinue offering any of them at any time and without prior notice.

Once on the Event website, and in order to proceed with the seat reservation, the User must follow all the instructions indicated in the purchase process, which shall imply having read and accepted all the general and specific terms and conditions set out on the website.

NOTES

There is a single type of reservation:

  • General admission – New Space Spain 2026. This reservation allows attendance at the Event and access to the services expressly included and described on the website. Availability is limited to a maximum capacity of 250 attendees, including invitations and accreditations for the organizing team.

The User may contact the Organizer to resolve any questions or request additional information about the Event.

4. AVAILABILITY

The Organizer shall process the seat reservation and confirm it via email.

The Organizer shall not be held liable for any damages or losses that the User may suffer as a result of technical, logistical or any other type of issues arising during the Event.

5. PURCHASE AND/OR CONTRACTING PROCESS

To make any purchase, the Customer must be of legal age.

In addition, the Customer must register on the website by completing the seat reservation form, providing the required information, which must in all cases be true, accurate and complete regarding their identity. The Customer must expressly consent to the processing of such data by accepting the website’s Privacy Policy.

The steps to complete the purchase process are as follows:

  1. Complete the seat reservation form.
  2. Receive confirmation of the seat reservation.
  3. Select the preferred payment method via email communication with the Organizer.
  4. Receive purchase confirmation.

It is also recommended that the Customer print and/or retain a copy of the Terms and Conditions of Sale on a durable medium when placing the order, as well as the confirmation of receipt sent by the Organizer via email.

INVOICING

The Customer may request the corresponding invoice. For this purpose, the Customer agrees to receive the invoice in electronic format.

6. DELIVERY AND ACCESS TO THE EVENT

From the moment the seat reservation is confirmed and once payment has been validated, the Customer will receive a reservation confirmation at the email address provided.

The Buyer may access their order history through the “My Account” section.

To access the Event, attendees must present a valid ticket, accreditation or proof of access, as well as, where applicable, an official identification document allowing verification of their identity and its correspondence with the data provided during purchase or registration.

The Organizer may deny access or withdraw accreditation in the following cases:

  • presentation of altered, duplicated, damaged or fraudulent tickets or accreditations;
  • failure to comply with venue access or security regulations;
  • violent, intimidating or disruptive behavior, or any conduct that may interfere with the normal development of the Event or pose a risk to persons or property.

For security reasons, attendees may be subject to proportionate checks or inspections at the entrance to the venue, in accordance with applicable regulations. Refusal to undergo such checks may result in denial of access or removal from the venue. Entry with objects or substances deemed dangerous, disruptive or incompatible with the Event is prohibited, at the reasonable discretion of the Organizer and, where applicable, in accordance with venue regulations.

The Event may be recorded for commercial and/or promotional purposes. By attending the Event, Buyers grant their consent for their image to be recorded and subsequently used for the aforementioned purposes as part of the audience.

Unless expressly authorized by the Organizer, recording, broadcasting, photographing or otherwise capturing the image or voice of speakers, attendees, content, materials or Event spaces shall not be permitted where indicated by the Organizer or venue regulations. Breach of this prohibition may result in withdrawal of accreditation or expulsion from the venue without refund, without prejudice to any further legal actions that may apply.

The Organizer shall not be held liable for the loss, theft or damage of attendees’ personal belongings, unless such damage is directly attributable to willful misconduct or negligence on its part.

7. PRICES, FEES AND TAXES

All prices published on the website are expressed in euros (€), unless expressly stated otherwise, and include the applicable indirect taxes in force at any given time, unless otherwise indicated.

Before completing the purchase process, the Buyer will have access to the full final price, including a breakdown, where applicable, of taxes, management fees and any other applicable charges.

The registration fee includes: participation in the conference, congress documentation, certificate of attendance and materials provided by the speakers. Unless expressly stated otherwise, the registration fee does not include travel, accommodation, meals or any other expenses unrelated to attendance at the Event.

Prices may be modified at any time prior to the completion of the purchase. However, such modifications shall not affect purchases already confirmed. The applicable price shall be the one in force at the time of purchase. In any case, the final cost will be communicated to the Customer before payment is made.

8. PAYMENT METHODS

The Buyer may pay the registration fee using the payment methods available on the website at any given time:

  • By credit or debit card (VISA or Mastercard). Transactions on the online store are processed through a secure payment gateway under the RedSys network, managed by an authorized external provider, in order to ensure the security of data transmission.

The Organizer shall not be held liable for any incidents, interruptions or failures attributable to third-party payment service providers, telecommunications networks or systems beyond its reasonable control, which may result in the suspension, cancellation or interruption of the website or payment gateway, without prejudice to providing the Buyer with reasonable assistance in managing such incidents.

9. EXCHANGE AND REFUND POLICY

GENERAL PROVISIONS

No exchanges or refunds of access reservations shall be permitted, except in the event of cancellation of the Event.

The inability to attend the Event due to personal reasons of the Buyer or the attendee, as well as errors made during the purchase process attributable to the Buyer, shall not entitle the Buyer to any refund.

In accordance with Article 103.l of Royal Legislative Decree 1/2007 of November 16, the right of withdrawal shall not apply to the purchase of tickets or registrations for leisure activities where the contract provides for a specific date or period of performance.

If the Event has commenced and must be definitively interrupted for reasons not attributable to the Buyer, the Organizer may assess, taking into account the circumstances, whether to maintain the validity of the ticket, reschedule the Event or provide a full or partial refund of the amount paid.

For these purposes, if the interruption occurs after a substantial part of the Event has taken place, a full refund may not be granted, provided that this is reasonable and proportionate in light of the content effectively enjoyed by attendees.

Adverse weather conditions, force majeure events or decisions by competent authorities shall not automatically entitle the Buyer to a refund, unless they result in the total cancellation of the Event.

In the event of cancellation, postponement or significant changes, the Organizer shall use its best efforts to inform the Buyer via the email address provided during the purchase or registration process.

EXCHANGES AND REFUNDS

In the event of total cancellation of the Event by decision of the Organizer, the Buyer shall be entitled to a refund of the amount effectively paid for the registration or ticket, using the same payment method used for the purchase, unless technically impossible.

The refund shall be processed within a maximum period of fifteen (15) business days from the public announcement of the cancellation or, where applicable, from the date on which the Organizer has the necessary information to process it.

10. CUSTOMER SERVICE AND COMPLAINTS

For any inquiry, incident, complaint or claim, the Customer may contact the customer service department via the following email address: info@newspaceespana.com.

Likewise, the consumer may, if deemed appropriate, resort to alternative dispute resolution mechanisms in consumer matters, in accordance with applicable regulations and pursuant to Law 7/2017 of November 2.

11. DATA PROTECTION

The personal data provided by the Buyer shall be processed by the data controller for the purpose of managing the purchase, registration, attendance at the Event, customer service, invoicing, and compliance with applicable legal and contractual obligations.

Where necessary for the proper organization of the Event, certain identifying data of attendees may be shared with the venue, host entity or service providers directly involved in managing access, accreditations, capacity control or the delivery of the Event, exclusively for these purposes.

Where the Buyer provides their contact details within the framework of a prior contractual relationship, the Organizer may send electronic communications relating to similar activities, events or services, always in accordance with applicable regulations and providing in each communication a simple and free means to object or unsubscribe.

The data subject may exercise their rights of access, rectification, erasure, objection, restriction of processing and data portability, as well as obtain additional information on the processing of their data, by consulting the Privacy Policy available at: https://newspaceespana.com/en/privacy-policy/

In the event that images or audio are recorded during the Event, such processing shall also be governed by the provisions of this clause, the Privacy Policy and any specific information that may be provided at the venue or during the Event.

12. APPLICABLE LAW

These General Terms and Conditions shall be governed by and construed in accordance with Spanish law.

The language of the contract shall be Spanish.

In the event of any dispute, and unless otherwise required by mandatory law, the parties shall submit to the courts and tribunals having jurisdiction in accordance with the applicable regulations.
